Enable Multi-Factor Authentication (MFA)

Summary

For the sake of security, users are required to have Multi-Factor Authentication through a phone number or a mobile app (for instance, Google Authenticator or Authy) which is used to verify the identity of the user, along with the user's password. Since this process verifies the user through two methods, it is also known as two-step authentication or two factor authentication (2FA).

 

This article will show you how to turn on this security feature.

 

Walk-Through

1. Navigate to the User Settings page and scroll to the bottom.

2. In the Authentication Settings section, select either Mobile Verification or Multi-Factor Authentication. You will only need to do one of these two options, which are explained below.

Mobile Verification

If you opt for Mobile Verification you will:

1. Enter your phone number and hit "Save."

2. Have a code texted to that number.

3. Enter the code into the box and hit "Verify."

Once this is done, Mobile MFA has been set up, and the user is good to go! Upon logging in again, the user will be prompted to verify their identity through a text message code, and will be prompted again for this verification whenever they try to log in two weeks after the last verification.

 

If you no longer have access to the phone number that you set up with two factor authentication, get in touch with your administrator for support. 

 

 

Multi-Factor Authentication App

If opt for Multi-Factor Authentication through an app you will be redirected to the following page where you will:

1. Download an authentication app (we recommend Google Authenticator or Authy) to your mobile phone.

2. Use the app on your phone to scan the QR code.

3. Enter in your login password for Onboard and then enter the one-time code that the app gives you.

Troubleshooting:

If you are having trouble with the apps, consider the following...

  1. Check your device’s time settings: Authenticator apps work by generating time-based codes, so if your device’s time settings are incorrect, the codes won’t work. Make sure your device’s time settings are set to automatic or that they’re manually set to the correct time.
  2. Check your internet connection: Authenticator apps require an internet connection to generate the codes. Make sure your device is connected to a stable internet connection.
  3. Restart the app: Sometimes the app may have gotten stuck or encountered a glitch. Try closing the app and reopening it to see if that resolves the issue.
  4. Clear cache and data: If restarting the app doesn’t work, try clearing the app’s cache and data. This can help resolve any issues with the app’s settings or configurations. You can do this in your device’s settings under “Apps” or “Application Manager”.
  5. Try using a different authenticator app: If all else fails, try using a different authenticator app. There are several free and paid options available on the app stores.

Changing Authentication Method

If you wish to disable or change the authentication method you already have set up, you may do so by navigating to the User Settings page, scrolling to the bottom and hitting "Disable MFA" under Authentication Settings. This will allow you to set up a new authentication method. Until you re-establish an authentication method, you will not be able to have full access to the platform.
