Upload I-9 Verification Documents as a New Worker

Summary

This article will show you how to upload your I-9 Verification Documents during the onboarding process.

This happens as part of the initial onboarding paperwork, after filling out forms and direct deposit information.

 

As of right now, this is only for new employees who have been added to the system since this feature was launched on December 3, 2020.

 

Walk-Through

1. Once you are invited to the platform, fill out the federal and state forms as you normally would.

2. Once you get through all the government-related forms and set up your banking details (if applicable), you will see this page where you will be able to upload the Form I-9 acceptable documentation to show your identity and authorization to work:

3. At this point, you will be able to select a form of identification from the lists. Follow the instructions on the government website listed and linked in the platform to see what forms of identity and authorization document(s) you are allowed to use. Make sure you have those documents readily available. Employees commonly scan or take a clear photo of those documents to use in the platform.

 

4. Simply select the label of the document you are uploading, and then add an image or PDF file of that document. Here is an example of what it would look like to add a passport:

5. Now that you have selected that specific form of identification from the list of options, upload your image or PDF:

6. If you need to delete the document, you can always do so by hitting the "remove document" button. If you need to add another document, select from the "show all documents" button the type of file you are uploading and then click the box again to upload another file. 

 

7. If at this time you are satisfied with all the documents you have added, you can hit the button for Submit for Review, as shown below. This will then send the I-9 verification documents to your admins to review and accept them as acceptable. Your status will be pending until an admin has reviewed your documents and accepted them.

8. If your status is one where you don't need to upload these verification documents OR if you are separately sending to your employer/already have sent these materials to your employer, you may want to skip this step entirely. If that is the case, do not upload any documents and simply hit the dropdown button next to the "Submit for Review" button. From there you can make a selection. Your employer will then see you have intentionally skipped this step. If you are required to submit these verification forms and you have done so outside the platform, they can still accept your status.

9. If you are required to upload the I-9 verification documents but you do not have them with you at this time, you are able to come back to the platform and finish the process later. If you need to do so, hit the button that says "Finish Later" in the same dropdown. You will be reminded via email until you complete the I-9 verification documents (or until your employer manually marks your status as accepted).

10. In most cases, employees will be finishing this step immediately and will be submitting their forms for review by an employer. If you hit the Submit For Review button, you will receive an email that tells you how your documents have been signed, but that your I-9 forms are pending administrator review:

11. Once an employer has reviewed and accepted your I-9 verification, you will get an email that looks like this:
