Invite a Worker Who Has No Email Address

Summary

Do you have a worker with no email, yet you still want to give them access to Cyberhire/Onboard? You will be able to add them to the system, but just remember the following:

  • You will need to set a password for them and share that password with them. Be sure they immediately reset their password, which they will be forced to do upon logging in.
  • REMEMBER: they will not be able receive notifications (because they have no email, which is how notifications are sent in the platform).
  • If this person does have an email account, or you need to reset their password, and/or you need to use any email notifications for this Worker, please use the separate, normal "Invite Worker" option and NOT the process below, which is for anyone who does not have any email address they can utilize. 
  • They will not be eligible to fill out fillable documents, since those documents use an email to function. Therefore, those fillable documents your organization has uploaded won't even be available as a selection to send to them.

 

Walk-Through

1. To invite a worker who has no email address, as an admin, go to your dashboard and hit the dropdown button beside "Invite Worker" then select "Invite without Email Address".

2. After hitting the button, you will be reminded of all the steps you will need to take when inviting a worker this way. Most notably, you will need to remember a few key points and tell that to the worker you are inviting. You will need to remember and tell them the username you create for them, as well as the temporary password you create for them. Since no email will be sent inviting them to the platform, you will need to tell them this information as well. You will also want to tell them the URL for them to go to in order to login.

3. Add the person's name, last name, and create a username and password for them. If necessary, choose an end client/employer for them (if you are an employer, it will default to your company and you will need see this selection.) Be sure to remember the username (login) and the password you are creating for that user.

4. After selecting your forms and documents you will now you will hit "Invite Worker Without Email Address". No email will be sent to them, so you must now share their username with them, their temporarily password, and the URL to login. The URL to login is the same URL you use as an admin.

5. You will see a success message after creating their account.

6. Now it is your turn to SECURELY share their username with them, their temporarily password, and the URL to login. Remind them to save this information because—without an email—there is no way to reset their password, besides you doing it for them. It's very important to tell them not to lose this information. If you forgot their username as an admin, head to your dashboard to see your list of workers, and from there, you will be able to see the username that you sent for that worker.

So what happens if this person loses the information you share with them or they forget their password? Since the platform is based on people who use email, the password reset only works for those with their email. As an admin, you can create a new password for someone if they lose it/forget it. Here is how:

1. As an admin, head to your dashboard and click on the worker to manage their profile.

3. Then click on "Worker Information & Status" (in the upper left navigation) if you are not already there.

2. Next, click on the button that says "Login Username settings" as shown below, an edit from there:

3. Now you will be able to override the current password and set a new one. Just remember, once again you will have to manually and securely share this password with the worker. (And possibly the username and URL to login again as well.) This is also where you would add their email address if they were given an email address after they filled out their paperwork prior to having one:
