Summary
This article will help you digitize a pdf document in order to electronically send this document to employees or independent contractors to fill out and/or sign.
Example of documents that may need to be filled out by a worker: emergency contact forms, offer acceptance letter, healthcare forms, background authorization/consent documents, and more.
Walk-Through
To begin creating a fillable pdf, follow the steps below in Onboard:
1. In the Documents tab, select "Add Fillable Document"
2. Here a fillable document can be created from an existing template. If you do not have the template created yet (and you would not be expected to if you are new to using this feature), you can select "create a new one" to create a template.
In creating a new one you will want to:
- upload a document file that you will add fields to (it must be a PDF)
- give the document a title or name
- and assign it to the worker type that will be filling it out (contractor and/or employee)
There are several options available for you to consider when adding a new document:
Worker Display lets you choose what kind of worker you will be able to send the fillable document to.
The "Visible & e-signature required" means any workers you send this document to in the future will be forced to sign the document in order to complete it.
- Select this when: This is a document you want all workers to review and/or sign.
- Deselect this: In any other circumstance. You can choose more specifically who to send this document to in the future.
This will take you to a new screen where you can upload a pdf and add fields to that pdf.
Field options include:
Signature, Initials, Date, Text, Number, Checkbox, SSN, EIN
You can add as many or as few fields as you like. Any required fields will have to be filled out by whoever is assigned to the document.
Create Template
After you have added all the desired fields, click the "Create Fillable Form" button.
