Summary: What are Change Requests?
Change Requests are made by workers to request that they re-fill out forms or change their basic information. For a full article on what it looks like for a worker to make a change request, see Update My Paperwork: Change Request.
If a worker has not yet been "approved," they can make these edits without a change request, but if they have already been "approved" they must make a change request and that request must be approved by an admin.
When should Admins make use of Change Requests?
Admins may want to ask a worker to make a change request if...
1) The worker filled out the wrong information and the admin wants them to change one of these things. Note at when the worker makes their change request, they can choose from three different categories of information to change (and may select any or all of them: "basic information," "withholding information," "direct deposit information."
2) The admin wants a worker to fill out new government forms (and the worker has already filled out the old ones). In this case, the admin should ask the worker to make a change request, ensuring they select "withholding information" which includes changes to the W-4. Then the admin will be able to send out the new government forms for the worker to sign.
How to Approve a Change Request
A change request can be approved by an admin by going to to the "Action Required" tab. Here the admin will be able to see any change requests made that have yet to be Approved or Rejected.
Once an admin clicks "Approve," they will be taken to a screen where they can more specifically indicate what they approve. Admins can add/remove forms that they want the worker to edit. By clicking inside the box, they can select from a drop-down forms that they want to re-send/reissue to the worker.
Waiting on the Worker
After you have approved the change request, the worker will automatically receive an email, notifying them that their change request was approved and they can now make changes. Their account will be unlocked (in the specified areas) to make the desired changes. You, the admin, will receive notifications as normal when the worker updates information or submit new forms.
